Project Planning - A One Year Update

Last year I created a project planning video that showed you how I keep projects organized using a binder, tabs, and customized sheets that you’ll find here.

Has this or another system helped you keep your project planning on track? I’m pleased to report that I’ve not only stayed on course, I’ve also created a system to streamline my recordkeeping.

Tracking receipts and reconciling statements aren’t the most-glamorous duties, but they’re certainly necessary to know if your marketing efforts are progressing.

I placed pocket folders inside of a black binder. Both are available at any office supply store. Each folder holds receipts for each of my accounts; savings, checking, credit cards, and petty cash. I’ve set up two checking accounts for business, so each account has a separate folder, and the same is true for the credit card accounts.

After making a bank deposit or buying a business product, I return to the office and place the receipt into the correct folder. When an expense statement arrives, I can easily pair the receipts with the statement.

I applaud all of you who give this work to an accountant. The more you can delegate to professionals, the better, and the more time you’ll have for marketing. My accountant reviews the accounts every six months or whenever I have a question about revenue or expenses.

My hope is that this information encourages you to maintain better order in your office so that you can focus on your marketing plan. I’m far from perfect when it comes to organization, but I know that the few orderly steps I put in place makes business life much easier.

CamStudio Gives Customers a Closeup View

Throughout September, Lynn Chandler of TechBasedMarketing.com has been sharing, through her online newsletter, information about and links to her favorite marketing programs.

One item that’s quite favorable is CamStudio’s streaming video software. Lynn uses this product very effectively in places where she explains how to do whatever’s shown in her video clips.

I’ve often wondered what program she uses to give us an “over the shoulder” look at her computer. Now we all know.

CamStudio provides installation instructions and other details on its site. Bookmark this tech tool for consideration as part of your promotional arsenal.

I learned about two productivity tools during my flight to present two seminars in Orlando. I know you’ll find good use for them.

Jott is a messaging system that reminds you of tasks you want to perform or tell others to complete. You call a toll-free number, say the message, and it’s distributed in the manner you choose (Email, voice, etc.).

Is it better to just scribble a note on paper? Sure, for some. But others prefer using technology, especially the type that lets you reach another person who needs to be in the loop. And a Jott message won’t be misplaced like a piece of paper.

I found Jing to be very cool. It’s a screen capture tool created by TechSmith, the company that makes SnagIt.

Project Planning Video

People who don’t work at home believe that business comes easy for us.

The thought of earning a living in the same place you in which reside seems glamorous. But we have no time to explain the many tasks we perform each day.

One of those tasks is tracking marketing campaigns from idea to completion. In the past I’ve mentioned the problem I’ve had tracking my projects so that I know at a glance its mission, objectives, and results.

This part of business is predestined when you work for someone else, but when you’re on your own, it’s the crucial component that ensures your livelihood.

After several attempts to find a workable project sheet, I created my own, which I’ve added to this page in abbreviated format and explain through video. Preparation of this sheet lets me determine whether my vision will flourish or fail. I’m better able to plan my projects and track each campaign because there’s something concrete for me to review and update as the project moves forward.

Perhaps you plan better using a computer-based program. In 17 years I’ve learned the importance of maintaining a hard copy in case of malfunctions. Consider placing a print version of your plan in a binder a back up.

Project planning, whether on paper or buy computer, ensures the results you desire for long-term success. The only foreseeable problem is convincing people who don’t work at home that it takes an incredible amount of determination to make what you do look easy.
